Executive Assistant

Executive Assistant Requirements:
- 3+ years’ experience as an Executive/Administrative Assistant – supporting senior executives within a family office or fund environment a plus.
- Bachelor’s Degree or equivalent experience.
- Proficiency with Microsoft Office Suite; QuickBooks experience is a plus.
- Experience in property management and/or vendor coordination preferred.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Exceptional communication skills, both written and verbal, with a polished and professional presentation.
Executive Assistant Responsibilities:
- Bill Pay & Bookkeeping: Process and track all invoices for properties; Work closely with the family office accounting team to ensure accurate financial reporting, including monthly reconciliations and journal entries in QuickBooks.
- Family Office Support: Act as a liaison between the family matriarch and various stakeholders (real estate brokers, vendors, caretakers, etc.) for property-related matters; Manage personal home and rental property needs, including vendor coordination, lease renewals, maintenance, and special requests; Track spending, reconcile credit card statements, and process payments for personal and property-related expenses.
- Property & Personal Management: Oversee day-to-day management of seven properties, coordinating repairs, maintenance, and renovations with staff, vendors, and service providers; Track project timelines, payments, and maintain records for home renovations and improvements (including digital and physical files); Assist with coordinating annual shareholder condo meetings and provide meeting minutes.
- Family Sibling Support: Assist with medical claims, insurance reimbursements, and expense reimbursements; Provide travel assistance, coordinate logistics, and maintain necessary documents such as passports and visas.
- Additional Responsibilities: Maintain an updated donation schedule and assist with year-end charitable donations to organizations; Manage personal artwork software and maintain digital and physical records.
