A global brokerage firm is hiring a HYBRID Documentation Specialist near the Chicago, IL metro for a PERMANENT opportunity. The primary responsibility of this role is to assist the Compliance Specialist in writing, revising, or providing training to PDS personnel, including designers, as necessary, including coordinating and following up on training sessions.

Documentation Specialist Requirements:
  • 3+ years of experience as a Documentation Specialist or another similar role, preferably in the construction industry.
  • Bachelor’s Degree in Business Administration, Engineering, or a related field from an accredited institution.
  • Certification in quality management or regulator affairs is a plus, not a requirement.
  • Proficiency in document management systems and Microsoft Office Suite
  • Excellent understanding of regulatory requirements, quality systems, and compliance standards.
Documentation Specialist Responsibilities:
  • Assist in creating and revising quality/compliance documents, such as construction plans, forms, and procedures, under the compliance specialist’s supervision, ensuring alignment with design requirements.
  • Aid in conducting project Quality Risk Assessments based on client requirements, with input from designers.
  • Generate or revise GMP/compliance documents as needed to support CAPA, investigations, or other requests, collaborating with designers for relevant input.
  • Assist in investigations, root cause analysis, and CAPAs related to facilities, utilities, and maintenance nonconformance’s according to contractual terms, involving designers where applicable.
  • Provide oversight on construction and project quality, collaborating with 2D and 3D designers as necessary.
  • Interface with the client’s quality personnel to ensure adherence to the client’s SOPs and proper documentation of team work according to regulatory and GMP requirements, involving designers in documentation processes as necessary.
